Nomination Guidelines
The University of the Philippines Diliman recognizes the contribution of its administrative sector to the growth and development of the university through effective and efficient delivery of services to internal and external clients. The award will be given to three (3) outstanding administrative staff: one (1) award for the Sub-Professional level (Salary Grades 1 to 8); one (1) award for the Professional Non-Supervisory level (Salary Grades 9 to 17); and one (1) award for the Professional Supervisory level (Salary Grades 18 and above). This is in recognition of their exemplary performance and their dedication to increase productivity and improve quality of service to the University.
- General Guidelines
- To be eligible for the 2010 Gawad Chanselor Para sa Natatanging Kawani, nominees must be full-time administrative personnel who are presently in active service of the University and who, during the period from July 2008 to June 2009, have not incurred leaves of absence without pay.
- The nominee must have performance rating of Outstanding during the periods July-December 2008 and January-June 2009.
Note: Members of the Committee for the Selection of Outstanding Administrative Personnel are not eligible.
- The nominee must have no pending administrative or criminal case nor has been suspended from office or convicted of any criminal or administrative offense for the last two years (July 2007-June 2009).
- Nominations submitted must be properly signed by the nominating college/unit or the college Dean or unit Director.
- The Dean or Director must certify to the accuracy of the data provided in each page of the nomination.
- Nomination documents must be accomplished and submitted in five (5) copies. The nomination must be accomplished with the following documents:
- A duly signed formal letter of nomination by the nominee/nominating unit (may be written in English or Filipino) citing outstanding accomplishment and assessing the tangible and intangible contribution/s of the nominee to the unit in particular and UP in general;
- Photocopies of certificates of (additional/new) training programs, workshops, seminars, conferences, etc., attended during the last two (2) years;
- Updated Personnel Data Sheet with passport size photo; and
- Certification by the nominee that he/she is clear of any criminal charges nor has been convicted of such for the last two (2) years (July 2008-June 2009).
To be furnished by the head of unit:
- Official Position Description form of the nominee;
- Certification from the Unit Head that the nominee has not been suspended from office or convicted of any administrative offense, and if subjected to preventive suspension, the decision was ultimately in favor of the personnel.
To be furnished by HRDO
Vii Photocopies of Performance Rating for the two (2) rating periods;
Viii Certification that the nominee is presently in the active service of the University and who, during the period July 2008 to June 2009, has not incurred leaves of absence without pay.
Ix Certification that the nominee is clear of any administrative charges nor has been convicted of such for the last two years (July 2007-June 2009).
- General Criteria
- Performance Rating: evaluation will cover rating periods from July-December 2008 and January-June 2009.
- Accomplishments at work: evaluation will consider improvement of work procedures, i.e., receptivity to and suggestion of new ideas to improve work procedures and the efficient and effective use of resources, i.e., manpower, material, financial and equipment.
- Professionalism: evaluation will consider observance of ethical considerations in dealing with people, going about one’s work and maintaining impeccable reputation.
- Dedication/commitment to work: evaluation will cover loyalty to one’s job/institution and ensures that the performance of one’s duties and responsibilities helps achieve the objectives and thrusts of the office.
- Professional/personal growth/development: evaluation will cover efforts to update job knowledge and expertise through formal and non-formal education to enhance work output.
- The Screening Committee may invite nominees for an interview; it may also ask for additional documentation.
